Based on the Manual of Internal Fund Accounting, schools should use the following funding structure to collect funds for damaged/lost mobile devices (specifically listed as tablets in the manual):

  • Program: 50040000 (Trust Program)
  • Function: 055204 (Tablet Repair)

Key Procedures:

  • Receipts: Individual receipts must be prepared for these collections.
  • End-of-Year Transmittal: At the end of the school year, the school treasurer must complete a Treasury Transmittal to the M-DCPS Vendor in eSAS to zero out the account.

Prior to assessing an obligation, schools should verify if the student does not have a Break/Fix plan record associated with their device distribution, as these accounts are subject to the terms of the Device Break/Fix plan.
